What is a timesheet template?

A timesheet template is a ready-made grid for recording clock-in and clock-out times, breaks, and daily totals. The Excel and Google Sheets versions add up the hours for you. The PDF versions are for printing and filling in by hand. None of them contain macros, and you can use them free of charge.

How it works

  1. Pick a format. Excel and Google Sheets add up the hours. The PDF prints on Letter or A4.
  2. Enter times in 24-hour format or with AM/PM. In the spreadsheets, type 8:30 AM or 17:15, and the cell formats handle the rest.
  3. Check the totals. Total cells show hours as h:mm and decimal side by side.

Worked example (the weekly sheet's formula)

Monday: in 8:00 AM, out 4:45 PM, lunch 45 minutes.

  • Excel stores times as fractions of a day. Out − In = 16:45 − 8:00 = 8:45.
  • Subtract lunch: 8:45 − 0:45 = 8:00.
  • Decimal: the sheet multiplies by 24, so 8:00 shows as 8.00.

Frequently asked questions

Do the templates contain macros?

No. They are plain .xlsx files and Google Sheets with ordinary formulas. Excel won't show a macro warning when you open them.

Which versions of Excel do they work in?

Any version that opens .xlsx files, including Excel for Windows, Excel for Mac, Excel on the web, and Numbers or LibreOffice for basic use.

Do I need a Google account for the Sheets version?

Yes. Google makes a copy in your own Drive, so you need to be signed in. If you'd rather not sign in, download the Excel file and open it in any spreadsheet program.

Can I use the templates for my business?

Yes. They are licensed under CC BY 4.0. You can use, change, and share them, including for commercial use, as long as you credit PunchedHours with a link.

Do the templates calculate overtime?

The California overtime sheet splits each day into regular, overtime, and double time. The other sheets total hours by day and by week. For state rules, rounding, and pay, use the online calculator and print the result.
