How do you calculate time card hours?

To calculate hours on a time card, subtract the clock-in time from the clock-out time for each day, take off unpaid breaks, and add the days together. Under federal law, hours over 40 in a workweek are overtime, paid at 1.5 times the regular rate. The calculator above does each step and shows the total in hours and decimals.

How it works

  1. Enter each day's punches. Type the time the way you would write it: 9, 930, 9:30, or 9:30p. The calculator shows how it read each entry next to the field, so a typo is easy to spot.
  2. Add breaks. Enter break minutes. Breaks are unpaid unless you tick Paid. If your employer deducts lunch automatically, use the automatic deduction instead.
  3. Pick the overtime rule. Federal is the default. Use a state preset if your state has daily overtime.
  4. Add your hourly rate if you want gross pay. Then print the sheet, download a CSV, or copy a link.

Worked example: a 45-hour week at $22.00 an hour

Thu7:45 AM5:15 PM30 min9:00
Fri7:45 AM5:15 PM30 min9:00
Total45:00 (45.00)

The math for one day:

  • 7:45 AM is 7 × 60 + 45 = 465 minutes after midnight.
  • 5:15 PM is 17:15, or 17 × 60 + 15 = 1,035 minutes.
  • 1,035 − 465 = 570 minutes. Minus the 30-minute lunch, that leaves 540 minutes, or 9:00.

Five days: 5 × 540 = 2,700 minutes = 45 hours. Under the federal rule, 40 hours are regular and 5 are overtime.

  • Regular pay: 40 × $22.00 = $880.00
  • Overtime pay: 5 × $33.00 (1.5 × $22.00) = $165.00
  • Gross pay: $1,045.00

How the calculator reads what you type

Without a or p, the AM/PM toggle decides. In the 12-hour mode, clock-in defaults to AM and clock-out to PM. Any hour from 13 to 23 is read as the 24-hour clock.

Frequently asked questions

How do I calculate the hours on my time card?

For each day, subtract the clock-in time from the clock-out time and take off unpaid breaks. Then add the days. If you clock in at 7:45 AM, clock out at 5:15 PM, and take a 30-minute unpaid lunch, that day is 9 hours 30 minutes minus 30 minutes, or 9 hours. Five days like that make 45 hours.

What happens if a shift goes past midnight?

Enter the times as they are. If the clock-out time is earlier than the clock-in time, the calculator treats it as the next day and shows "Ends next day" under the row. A shift from 10:00 PM to 6:30 AM counts as 8 hours 30 minutes, on the day the shift started. For a full 24-hour shift, enter the same time twice and tick Next day.

How do I take off a lunch break?

Type the break length in minutes. Breaks are unpaid unless you tick Paid. Breaks under 20 minutes start out marked as paid, because federal rules count short rest breaks as work time (29 CFR 785.18). If your employer deducts lunch automatically, set an automatic deduction instead, for example 30 minutes on any day longer than 6 hours.

How is overtime calculated?

The default is the federal rule: hours over 40 in a workweek are overtime at 1.5 times the regular rate. State presets add daily overtime where a state has it, and Custom lets you set your own thresholds. The result is an estimate for your records. Exemptions, union contracts, and bonuses can change what you are actually owed.

Should I turn on rounding?

Only if your employer rounds punches and you want your numbers to match theirs. Rounding is off by default. Federal rules allow rounding to the nearest 5, 6, or 15 minutes if it does not underpay employees over time (29 CFR 785.48(b)). The 15-minute option follows the 7-minute rule: 1 to 7 minutes rounds down, 8 to 14 rounds up.

Why does my total show 40:30 in one place and 40.50 in another?

They are the same amount written two ways. 40:30 means 40 hours and 30 minutes. 40.50 is the same time in decimal hours, which is what most payroll systems use. The h:mm and Decimal switch under the total changes the view.

Is my timesheet saved, and who can see it?

It is saved in this browser on this device, so it is still here when you come back. Nothing you enter is sent to us. If you use Copy link, the timesheet is packed into the link itself, and anyone you send it to can read it. Clear saved data removes everything PunchedHours has stored.

Can I print the timesheet or open it in Excel?

Yes. Print timesheet gives you a one-page paper version with lines for signatures. Save PDF opens the same layout in your browser's print dialog, where you choose Save as PDF. Download CSV gives you a file that opens in Excel, Google Sheets, or Numbers.
